Measure chest, waist, hip, length, sleeve and key style points using the same method shown in the specification sheet. Record actual measurements and tolerances.
Why sample approval controls bulk quality
When sourcing from a women’s clothing manufacturer in China, the approved sample becomes the physical reference for pattern shape, fit, sewing, trims and finishing. Written comments should explain every required change. A message such as “make it better” cannot be measured or repeated on the production line.
Check shoulder position, neckline shape, armhole comfort, side-seam balance, rise, hem level and how the garment moves on the intended body.
Review opacity, drape, stretch, recovery, shrinkage, colorfastness and handfeel. A pattern approved in one fabric may need adjustment in another.
Check seam type, stitch density, seam allowance, lining attachment, zipper installation, pressing, loose threads and stress points.
Confirm main label, size label, care label, hangtag and packaging artwork, wording, placement, color and dimensions.
Use numbered comments with photos. The factory should reply to each item and identify which changes require another sample before production.

What to write in the approval message
State the sample version, approval date, approved fabric and color, final measurement sheet, accepted workmanship standard, label files and packaging instructions. List any remaining changes that can safely be corrected in bulk and require the factory to acknowledge them before cutting.
